Reliable stock and download settings turn a product description into an order you can fulfil.

Reliable stock and download settings turn a product description into an order you can fulfil. Physical inventory must match what you can supply, while digital products need working files and permissions. This guide covers both workflows and explains how to check them without confusing a product’s visibility with its availability.

Agree on the source of stock truth Decide whether WooCommerce, a point-of-sale system or another inventory service is authoritative. If multiple systems update stock, manual edits can be overwritten or produce mismatches. Record who can change quantities and when adjustments should be made.

For a small store without an external integration, count the available stock, subtract reserved or unusable items under your business process and record the quantity ready for sale. Keep records of damaged goods, returns and offline sales so the website does not drift from reality.

Configure product inventory Open the product’s Inventory settings. Depending on your configuration, you can track a numeric quantity or maintain a status such as In stock or Out of stock. Site-level inventory options are under WooCommerce → Settings → Products → Inventory.

  1. Confirm stock source
  2. Choose quantity or status
  3. Check variation-level rules
  4. Test the customer view

Use unique SKUs if your operation relies on them. Set an appropriate low-stock threshold and check that its notification recipient is monitored. A notification does not replenish stock automatically. For variable products, decide whether quantities belong to each variation or are shared at the parent level.

Treat backorders as a business commitment Backorders allow purchases beyond immediately available stock. Enable them only if your business can manage the delay and communicate it clearly. A product that is made to order may need a lead-time message or an approved extension in addition to its stock settings.

Inspect the storefront message for the exact configuration you use. Some options permit backorders without prominently warning the customer. Do not assume that choosing a backorder setting supplies every message your fulfilment process requires.

Reconcile after unusual order activity Cancelled orders, refunds, failed payments and offline sales can affect stock differently depending on status changes, settings and integrations. Before making a correction, inspect the order notes and current quantity. Avoid adding stock twice when an automated action has already restored it.

Review a sample of fast-selling items regularly. If quantities repeatedly change unexpectedly, record the item, time, relevant orders and any integration activity. A controlled investigation is more useful than repeatedly resetting the number.

Configure downloadable products Open the intended product and enable Downloadable. Enable Virtual as well only when nothing needs shipping. Add the customer-facing file name and the approved download file location. Review download limits and expiry against your product promise.

An ordinary publicly reachable Media Library URL is not a sufficient protection strategy for a paid file. Use WooCommerce’s approved download storage and delivery configuration. Have Digital Rebellion verify file protection, approved directories and server behaviour for your setup. Do not put valuable files in an openly linked folder and assume the purchase button protects them.

Test delivery after purchase Use an approved test payment or controlled order workflow. Confirm when download permission is granted, whether the email contains a working link and whether the file appears in the customer’s account where expected. Check the file itself on another device. A working link to the wrong version is still a delivery failure.

Replacing a download can affect existing purchasers depending on how the file and permissions are configured. Decide whether earlier buyers should receive the update, then test that intended access rather than simply changing a public URL.

Frequently asked questions Will an out-of-stock product disappear? Only if your store’s visibility configuration hides it; inspect the catalogue and product URL.

Does marking an item Virtual make it downloadable? No. Virtual concerns shipping; Downloadable concerns file delivery.
