A healthcare website needs to support every step between discovering a practice and returning for ongoing care. Patients need clear information, straightforward bookings and guidance on what happens next. The practice team needs reliable processes behind those interactions.
For Dr Grant Fourie’s functional medicine practice, Digital Rebellion delivered a connected digital system bringing together website functionality, bookings, payments, patient onboarding, dispensary access, repeat prescription requests and point-of-sale operations.
Built around WordPress and WooCommerce, the project combined customer journey design with practical development, automation, patient information and staff documentation.
Designing Around the Patient Journey
We mapped the experience from the patient’s first visit to the website through to booking, consultation preparation and ongoing support.
This helped define what each stage needed: relevant information, a clear action, an appropriate response and someone responsible for the next step.
The workflow also distinguished between the patient attending the consultation and the account holder making payment. That detail shaped how information was collected during booking and checkout.
Connecting Bookings, Payments and Communication
We implemented a booking journey connecting appointment-date selection, patient information, billing details and payment.
Order statuses support different scenarios, including successful online payments, transfers awaiting proof of payment, cancellations and failed orders. Automated confirmations and reminders connect those events to patient communication.
Staff remain involved where personal attention is needed. The practice confirms appointment times, reviews transfer payments and manages exceptional changes and refunds.
The result is a defined process for both the patient making a booking and the team managing it.
Making Onboarding Clear and Accessible
We created patient information and onboarding materials explaining the practice’s approach, consultation structure, fees, preparation requirements and next steps.
The Functional Medicine Info Pack brings practitioner information, educational resources and practical booking guidance into one accessible document. Welcome information and forms support patients as they prepare for their appointments.
Patient accounts provide a place to return for resources, handouts, medication reorders and repeat prescription requests. The experience continues beyond the initial booking, supporting the patient’s ongoing relationship with the practice.
Building Appropriate Dispensary Access
The online dispensary required different access levels for public products, patient-only products and prescription-related items.
We implemented product visibility and account-access rules around those requirements, alongside a reorder process that connects patient requests with staff review.
Patients can submit medication reorder requests through their accounts, while the practice verifies prescription validity and processes the relevant orders. This combines online convenience with a defined approval process.
Making Repeat Prescription Requests Easier
We added repeat prescription requests to the patient account area, giving patients a clear way to request a repeat script without starting a separate email or telephone enquiry.
Requests follow a defined practice review process, keeping clinical approval with the practitioner while making submission and administration more straightforward.
Together, medication reorders and repeat prescription requests support two distinct needs: purchasing medication against an existing valid prescription and requesting a prescription renewal.
Connecting Point of Sale With Practice Operations
We connected a point-of-sale system to the practice’s digital workflow, bringing in-practice purchases and payments into the same operational process as online orders.
The Yoco POS and WooCommerce workflow connects transactions with patient-linked orders, supporting purchase history, inventory tracking and payment reconciliation across both channels.
Staff procedures cover creating orders, selecting the correct patient, recording payments and checking transaction reports against website orders. This gives the practice a consistent process for managing online and in-person sales.
Giving Staff a Practical Operating Manual
A connected system needs clear instructions for the people running it.
We developed an internal operations manual covering booking administration, payment checks, appointment updates, automated communications, prescription and reorder requests, stock management and POS reconciliation.
Daily and weekly checklists translate those responsibilities into repeatable actions. The documentation also distinguishes automated messages from situations requiring personal follow-up.
This gives existing staff a working reference and supports future team onboarding.
Connecting Search Intent With Useful Content
Alongside the patient and operational workflows, we developed an SEO keyword report and content strategy aligned with the practice’s services.
The strategy connects educational searches with informative articles, service research with relevant pages and booking intent with clear calls to action.
A six-week content calendar turns those priorities into a structured publishing plan, providing direction for ongoing content development.
The Completed System
The project brought together:
- Website booking and checkout workflows.
- Patient accounts and resource access.
- Automated confirmations and reminders.
- Patient information and onboarding materials.
- Dispensary visibility and medication reorder processes.
- Repeat prescription requests with practice review.
- Connected point-of-sale operations.
- Inventory tracking and payment reconciliation procedures.
- Internal operating instructions and staff checklists.
- SEO research and content planning.
The value lies in how these elements connect. Patients have clear steps to follow, while the practice has defined processes for managing the work behind each interaction.
This project demonstrates Digital Rebellion’s ability to connect website development with customer experience and day-to-day operations—from planning the journey to implementing the functionality and documenting its use.
